Getting honest feedback at an event — while people still feel it

An event is one of the best chances you will ever get to collect honest feedback — and one of the easiest to waste. Your audience is in one place, engaged, and feeling something right now. But the window is tiny. The moment people walk out the door that feeling starts to fade, and "we will email you later" quietly loses you most of the responses. Here is how to capture it while it is live.

Before the event: decide and prepare

Start with the same question every good survey starts with: what do you actually want to learn? For an event it is usually two or three things — was it worth their time, what landed, and what they would change. Write those down and let them shape a short questionnaire: six to ten quick questions at most. People will give you a minute at the end of an event, not ten.

Then prepare the way in. Generate your QR code and link ahead of time, and test the whole thing on your own phone — scan, answer, submit — so there are no surprises on the day.

During the event: ask while it is fresh

Timing is everything. The best responses come in the last few minutes and immediately after, while the experience is still vivid. So put the QR where people naturally pause: on the closing slide, on the table or seat, at the exit, on the receipt or the goodie bag.

A nudge from the front makes a real difference. A simple line from the host — "before you go, scan this; it takes thirty seconds and it genuinely helps us make the next one better" — will lift your response rate far more than a sign nobody reads. People help when they are asked, in the moment, by a person.

Make it effortless

Keep the barrier on the floor. Phone-first, so anyone can answer where they stand. Anonymous, so people are honest about what did not work. Thirty to sixty seconds, with one open box for "anything we should change". The easier you make it, the more of the quiet middle you hear from — not just the superfans and the one person who hated the parking.

After the event: read it while it is warm

Open the report the same day, while the event is still fresh in your own mind too. Look at the overall reaction and the open comments first — that is where you learn what to repeat and what to drop. Share the wins with your team, partners or sponsors; a clear, honest read on how the event landed is exactly what a co-organiser or sponsor wants to see.

And if it is a recurring event, that first report becomes your baseline. Next time you are not guessing whether it went better — you can see it.

That is the whole play: decide what you want to learn, ask while people still feel it, make it effortless, and act on what comes back. Vitalz is built for exactly this — a one-off occasion mode, a questionnaire drafted for your event, a QR and link to share, and an honest report at the end. It is free to start, so your next event can be the one you actually learn from.
